You can now add internal approval flows to Responder cases. This helps teams review and approve a package internally before it is created/shared externally.
- A clearer in-case workflow that guides users through the steps to create a package.
- Optional internal approvals that can be required before a package can be created/shared.
The new case workflow (Selection → Preview → Approvals → Create & share)
Inside a case, the package creation process is now structured as:
Selection
Select what you want to include in the package (companies/officers, documents, questionnaires, legal entity structure, etc.).
Preview
Preview the package content before sharing. This makes it easier to validate what will be sent out.
Approvals (only if enabled for the case)
If an approval flow is applied to the case, you must complete all approval steps before you can create/share the package.
Create & share
Once approvals are complete (or if no approvals are required), you can create the package and share it as usual.
Note: The Create & share action has been moved into the workflow to provide more space and a clearer “step-by-step” experience while building and reviewing a package.
How internal approvals work (Responder)
Approval flows in Responder cases work similarly to approval flows in Collector:
- A case can require approval from one or more departments/steps (e.g., Legal, Compliance, Finance).
- A user requests approval.
- Approvers receive an email notification.
- Approvers can review the package content (preview on the right) and then approve/reject.
- Once all steps are approved, package creation/sharing is unlocked.
What approvers see
Approvers can:
- Open the approval request from the email
- Review what will be shared (package preview)
- Complete any configured checklist/questions (if your approval flow includes them)
- Approve the step so the flow can move to the next department
Setting up approvals (Admin setup)
Approvals are optional and can be configured by an Admin.
Create a case approval flow
- Go to Settings → Approval flows
- Click Create
- Choose Cases & projects
- Name the flow and create it
- Open the flow and add the required steps/departments
- Optionally add a checklist/questionnaire per step (if needed)
- Publish the flow
Important limitation
Once an approval flow is published and used in a case, it can’t be edited. If you need changes later, create a new flow.
Choosing the approval flow for a case
Currently, the approval flow is selected when creating the case:
- In Create case, choose the approval flow from the dropdown.
- Only approval flows created for Cases & projects will appear.

Can I add an approval flow after a case has already been created?
Not currently. Approval flows are selected at case creation.
Can I create multiple approval flows?
Yes. You can create multiple flows for different scenarios (e.g., “Standard bank share”, “High-risk share”, “Board approval”)
