What a Responder questionnaire is
A Responder questionnaire is a structured version of a third-party form (typically from a bank, auditor, or law firm) that you complete in Avallone and then share back as part of a package.
It helps you:
- Answer repetitive KYC questions faster
- Reuse previously provided information
- Keep an audit trail of what was answered and shared
Where questionnaires are used
- Inside a Case (most common): you create/complete questionnaires as part of the case workstream.
- Packages: you select completed questionnaires to include in the share.
Ways to create a questionnaire (common options)
1) Upload a PDF/Word (“Keep original”)
- Use when the counterparty provides a PDF/Word form and you want to keep the original layout.
- Avallone digitizes the form and lets you complete it in the platform.
Tip: If the PDF has security restrictions (password-protected/locked), digitization may fail. In that case, request an unlocked version from the counterparty or use a workaround process.
2) Generate from email / text (AI-assisted)
- Use when the request is a list of questions in an email.
- Paste the text into the case → generate a structured questionnaire.
3) Avallone format (digitized by our team)
- Use when the original format can’t be digitized automatically (e.g., scans, complex layouts, unusual file types).
- The questionnaire is recreated in Avallone’s format and then used the same way in cases.
Completing a questionnaire
- Fill in answers directly in the questionnaire fields.
- Where available, use suggested answers to speed up completion (suggestions are based on existing data/documents in your tenant).
- Review suggested answers carefully before accepting.
Matching questionnaire data back to profiles
When you complete a questionnaire, you may be prompted to match data to the profile.
- Use this when the questionnaire contains updated details (e.g., address changes, registration info, officer details) and you want to update the underlying company/officer record.
- If your tenant syncs company data from an external source system, synced fields may be overwritten by the next sync—use matching with that in mind.
Reuse (“questionnaire repository” / library concept)
Once a questionnaire is prepared/published in the tenant, it can typically be reused:
- In a new case, select the questionnaire from the dropdown
- Apply it to different companies where relevant (depending on how the questionnaire is designed)
Sharing questionnaires in a package
- Add the completed questionnaire(s) to the package
- Preview to confirm what will be shared
- Share via email or generated link (recipient typically downloads a zip)
Common pitfalls
- Locked PDFs: ask the counterparty for an unlocked version.
- Over-sharing: only include questionnaires and sections that were requested.
- Time-sensitive requests: if a questionnaire cannot be digitized quickly, agree on a temporary workaround (complete in Avallone → transfer answers to original PDF) while the long-term fix is addressed.
